1. ACCURACY AND INFORMATION
TheGolfPA.com has taken all care to ensure that published information and prices are accurate. However, if we identify an error or omission following publication, we will inform you before confirming your booking.
The revised information will then form part of your contract. If an error or omission is discovered after your booking is made, we will always try to advise you prior to your holiday.
2. THEGOLFPA.COM PAYMENT TERMS
A non-refundable deposit must be paid at the time of booking to secure a booking. You may be required to pay an additional deposit amount for certain bookings where we need to pre-pay an additional sum to secure your booking. This is common practice in the case of amateur tournament entry and certain golf clubs, but you will be advised of this.
The minimum deposit for bookings is 25% of the total package value, and a minimum of £150.00 GBP per person. Tournament entry fees must be paid in full at the time of booking, and are separate to the deposit amount. Tournament entry fees are non-refundable.
For some special event bookings, a higher percentage of the booking is required as a deposit, but this will be advised at the time of booking.
The balance of your booking must be paid no later than 12 weeks before the date your contracted break is due to commence. Bookings made for ‘golf only’ or any particular ‘golf pass’ will be taken in full at the time of booking and are non-refundable.
In some cases bookings may require full payment more than 12 weeks in advance of your golf holiday. However, this will be clearly advised to you at the time of booking.
Bookings made less than 12 weeks before your date of arrival must be paid in full at the time of booking. If the balance is not paid by the due date, we reserve the right to cancel your booking and retain your deposit.
Full payment for all flights is required at the time of booking.
If a client decides to pay more than the requested amount as their deposit, this amount will be deemed to be the deposit and is non-refundable.
For group bookings, a single deposit to cover the entire group is required to be paid by the group leader. Individual members of the group can then pay their balance when it becomes due.
3. ACCEPTED FORMS OF PAYMENTS
TheGolfPA.com accepts the following forms of payment:
Credit/Debit cards – Visa, MasterCard, Maestro, Switch, Electron, Solo and Delta. Please note that all payments made by credit card carry a 3% service charge. Debit cards do not carry a handling charge if they are UK issued cards, otherwise a 2% service charge will be applied.
Personal/Company cheques made payable to “TheGolfPA.com”. Payment by cheque will not be deemed to have been received by us until the payment clears in our account.
Bank Transfers are accepted on balances over £1000.00 GBP. The client must pay any bank fees incurred during all transfers at the time of transfer. Any client wishing to make a bank transfer below the £1,000.00 GBP threshold will incur a service fee of £10.00 GBP.
TheGolfPA.com reserves the right to retain all deposit payments made and cancel a booking where the client has failed to pay any outstanding balance less than 10 weeks prior to your expected date of arrival.
American Express – all payments made by American Express carry a 5% service charge.
All charges incurred during Bank Transfer or payments by Credit Card to TheGolfPA.com are in addition to the quoted cost of your holiday. Should unforeseen charges apply, we will notify you prior to taking any payment.
4. PRICE
All prices quoted by TheGolfPA.com are per person and based on twin/double occupancy. Single rooms are available at all hotels however they often carry a supplement. You should be aware that hotels often insist on a ratio of twin/double rooms to single rooms and is determined on an individual basis.
If a high percentage of single rooms are requested, the twin/double room rate may be applied in order to fulfil your request and no discount will be applied to rooms that do not have the full occupancy.
We reserve the right to increase the price of any golf holiday advertised on our website. Rounds of golf included in all our golf holidays are deemed as complimentary.
TheGolfPA.com has many long-term agreements and arrangements with industry specific rates with hotels, transport companies and golf clubs. Therefore it is not possible for packaged trips to be broken down to show individual costs.
5. BOOKING CONFIRMATION
On receipt of your payment via the methods stated in (3), we will email confirmation of your booking with TheGolfPA.com. The confirmation will clearly state the balance to be paid and the date by which it is due.
Please check the confirmation carefully to make sure that all your booking details are all correct. Contact us immediately if your confirmation appears to be incorrect or incomplete and we will endeavour to make the necessary changes. In some instances tee times will be confirmed after the invoice has been generated and once payment has been received by us.
TheGolfPA.com reserves the right to make changes to and correct errors after bookings have been confirmed.
6. DRESS CODE
We cannot accept any responsibility in any ruling by a hotel or golf course if you or any of your group is unable to play due to inappropriate attire.
In some golf clubs, a jacket and tie for gentlemen or dress with shoes for ladies are required for entry. There may also be areas of a golf club that are restricted to either gentlemen only or ladies only and clients should be aware of this and respect this ruling in the club.
Please check before you travel that your group is aware of appropriate golfing attire. This will be available from the individual golf club websites. If you are unsure, please enquire with us and we will assist as best as possible.
7. STANDARD OF PLAY / GOLF ETIQUETTE
Knowledge of golf etiquette and the rules of golf are expected by all members of your group.
Some golf courses will require handicap certificates before accepting visitors. It is up to each golfer to ensure that they hold the appropriately accepted handicap for playing on any golf course. TheGolfPA.com will not be held responsible for bookings made for clients that do not have the accepted handicap requirements.
You should check the website or each individual golf club for any particular restrictions. If you are unsure, please enquire with us and we will assist as best as possible.
Clients are advised to only play within the boundaries of the golf course. If a ball goes out of bounds, clients are advised not to attempt to retrieve balls as a matter of safety. TheGolfPA.com holds no responsibility for any client that crosses the boundary lines of the golf course to play or retrieve golf balls.
8. TEE TIMES
Golf courses reserve the right to alter confirmed tee times. If your confirmed golf club cancel your reservation or change your tee time we will try to find a suitable alternative.
You will be charged for any difference in the original cost and this must be settled prior to a booking being changed. Such changes do not entitle you to cancel a holiday that is part of a package.
Please also be aware that some golf courses may pair you up with other golfers during peak times.
It is the responsibility of each golfer to play golf at their allocated tee time. Golfers who fail to attend to play at their allocated time will not be offered a refund.
If a client is delayed due to the arrival of flights, they should contact the golf club directly to see if they can re-arrange their tee time. This arrangement will be between the client and the golf club, and will not be the responsibility of TheGolfPA.com. We will endeavour to assist where we can for our clients, but cannot be held responsible due to circumstances that are beyond our control.
9. CONDITION OF GOLF COURSES
The condition of golf courses varies throughout the year. General golf course maintenance on tee boxes, fairways and greens are an essential feature of golf course preparation.
TheGolfPA.com cannot be held responsible for the impact of such work. We will, whenever possible, advise of any work being carried out when a golf club specifically advises us to notify clients.
Golf Clubs prepare ground works on their courses for future events, competitions and tournaments. Any such work being carried out is considered accepted by the client and as normal playing conditions during their playing round. No refund is given due to the closure of holes or where temporary holes, tees or greens are in play.
During winter months, or prior to special events, golf clubs may enforce the use of playing mats to be used on fairways and light rough in order to protect certain areas of the course. This is deemed to be accepted as normal playing conditions by the client during their round.
The reshaping of bunkers, GUR or maintenance of tees and greens are considered normal playing conditions of the course by the client during their round.
In certain circumstances a golf club will alter the sequence in which holes are played on their golf course. This is not the responsibility of TheGolfPA.com and is accepted as normal playing conditions by the client.
Many factors can affect the starting time on a golf course. A golf club may request groups to start on the 10th hole rather than the 1st hole to ensure reasonable flow around the golf course.
Clients accept that their tee time may be delayed by the starter at a golf course and is not the responsibility of TheGolfPA.com.
10. OUR DESCRIPTIONS
The descriptions of the hotels and golf courses and other aspects of the holidays are based on opinions gained on site visits and on the opinions of hotels themselves. We are not always able to exercise control over all the components of the holiday arrangements and it is possible that an advertised amenity be withdrawn or changed due to various reasons such as water conservation, renovation work, etc.
We will advise you if we become aware of a major change but we cannot accept liability for loss, damage or inconvenience in such circumstances.
Amateur Tournaments are arranged and controlled entirely by independent Tournament Directors and Committees. TheGolfPA.com acts purely as a booking agent for these events.
Any changes made to Amateur Tournaments by a Tournament Director or Committee will be advised to you as soon as we are aware of it. We cannot accept liability for loss, damage or inconvenience for any changes made during Amateur Tournament events.
11. BEHAVIOUR
Throughout your booking with TheGolfPA.com you accept full liability for any damage or loss caused by you or any member of your group. There will be no refunds for any absence from the holiday once it commences.
This includes such things as missed meals, golf, sightseeing or any other activities in the tour. TheGolfPA.com is not responsible for personal injury, accident, or illness; or for loss, damage or theft of personal belongings.
If a client fails to arrive at the appropriate time to be transported to/from golf courses, accommodation, places of interest or airport/port transfers, it is the responsibility of the client to make their own arrangements to get to the next destination. TheGolfPA.com will not issue any refunds where a client has failed to attend.
12. CANCELLATIONS / AMENDMENTS
It is possible for you to change numbers of travellers or cancel your holiday at any time provided that the person who originally booked the holiday sends us written notice by letter or email.
Cancellations or amendments are considered received by TheGolfPA.com once we acknowledge it with a confirmed email to the lead named traveller in your group.
A £20.00 GBP administrative charge per person will apply to any changes to the itinerary requested by client or travel agent after the deposit has been received.
Where additional travellers are added to the booking, we will attempt to ensure that the package cost remains as close to the original price as possible, but sometimes this may not be possible and additional charges may be incurred.
Cancellations after the deposit has been paid to TheGolfPA.com will result in loss of all deposit monies paid.
Cancellations made after final balance has been paid to TheGolfPA.com will result in loss of all monies paid, and monies paid equivalent to the loss TheGolfPA.com would incur including administration costs in the preparation of the booking. A £20.00 GBP administrative cancellation charge will also apply per person in addition to the above at the discretion of the business.
13. SPECIAL OFFERS & VOUCHERS
Please note that Special Offers are subject to availability as well as specific booking conditions and travel periods. Due to the nature of these offers, vouchers cannot be redeemed against these.
Any vouchers purchased from TheGolfPA.com are valid at their full original value for the period of twenty-four months from the date of issue.
After twenty-four months, a voucher retains 75% of its original value up to the period of thirty months from the date of issue.
After thirty months vouchers can be redeemed for 50 % of their original value from the date of issue.
14. PRICE CHANGES
Should there be any increase in the cost to us, caused by currency exchange rate fluctuations, Government action, or changes in air or ferry fares, we will advise you of this prior to booking. You will be required to meet any increase in order to have your booking confirmed.
After the client has paid their deposit, and if we have to increase the price of your holiday by more than 10%, you will have the option of continuing with the holiday arrangements and meeting the extra costs or cancelling with a credit note of any money you have paid to us, except any charges we have incurred for amendments.
If you decide to cancel the booking, you must do so within five working days of the issue of the revised Invoice. If there should be any decrease in cost to us by more than 5% then we will refund the difference.
Due to the nature of the travel industry business we are in, these conditions are enforced to ensure that losses are not made. TheGolfPA.com will at all times attempt to ensure that an alternative arrangement can be made to limit any additional charges required.
15. TRANSPORT
SELF DRIVE RENTAL CARS:
Where TheGolfPA.com arranges car hire on your behalf, you will adhere to the usual terms and conditions set down by the individual rental car company. All rental car costs are based on one driver per vehicle.
All drivers must be 25 years of age or older and hold a full valid driving licence to drive within the country of rental. An additional insurance surcharge may apply for drivers under 25 and up to 30 or over 70 years of age. The rental company will advise this to you at the time of pick-up.
In some circumstances, the rental car company will levy a surcharge where vehicles are taken between different countries or picked up and dropped off at different locations. This will be advised to you at the time of pick-up and should be paid directly to the rental company.
Rental car companies may require a deposit to be held on the client’s credit card throughout their rental. Clients should be aware of this and should ensure that they have the appropriate amount available on their card prior to rental.
Any endorsements on a drivers licence must be advised at the time of booking. Failure to advise us of this may affect your entitlement for car rental.
COACH & CHAUFFEUR TRANSFERS:
TheGolfPA.com will arrange suitable coach/minibus/chauffeur driven car transfers with drivers as required for your holiday. TheGolfPA.com uses a variety of coach companies and all are fully insured and have the
highest quality vehicles.
TheGolfPA.com will instruct the driver/chauffeur to meet and greet clients upon arrival in the Arrivals Hall at Airports or Ports with appropriate signage indicating the lead name for the group.
Clients may request snacks of potato chips, chocolate, bottled water and soft drinks to be available on their coach or in their chauffeur driven vehicle at an additional charge and by prior arrangement.
Additional refreshments or other food requirements different to the above are at the discretion of the coach driver or chauffeur and should be purchased by the clients.
On some occasions more than one coach company may be used for tour holidays between countries. This will be advised to you at the time of booking.
Gratuities for drivers are at the discretion of the client, based on how they feel they have been looked after during their trip. Gratuities are not included in the package cost, are completely separate to the booking, and are between the client and driver and not the responsibility of TheGolfPA.com.
16. PASSPORTS, VISAS AND HEALTH REQUIREMENTS
A passport is necessary to travel to all European countries, even when travelling within the Euro Zone. A passport is not always necessary to travel between Northern Ireland, Scotland, England, Wales and Southern Ireland, but
TheGolfPA.com recommends that all travellers carry a valid passport with them on their holiday.
Most European countries enjoy the same level of medical service as Great Britain & Northern Ireland. However, TheGolfPA.com recommends all UK clients obtain from their local DHSS office a copy of the booklet “Protect Your Health Abroad”, and the form E111 for presentation when seeking medical assistance abroad. The E111 entitles you; your spouse and your dependants to Free State provided or reduced cost emergency treatment.
Certain countries outside of Europe require a pre-arranged entry visa; TheGolfPA.com accepts no responsibility for visa requirements, and advises all travellers to ensure that the requisite documents are in place prior to travel.
When travelling to the USA, a minimum of six months is required to be still valid on passports and an ESTA must be completed a minimum of 72 hours prior to travel. If you are unsure of this, please let us know and we may be able to assist.
As we have clients from many international destinations travelling with us, it is up to the individual client to ensure that they have the necessary passport, visas and documents for travelling. TheGolfPA.com holds no responsibility for clients who cannot travel due to inappropriate travel documents.
17. INSURANCE
TheGolfPA.com strongly recommends you undertake golf travel insurance. Some insurance companies may consider the game of golf as a dangerous sport and you should mention your participation when obtaining a quotation. You should also ensure that your golf equipment is covered in the policy.
If clients cancel their golf trip, they should refer to their insurance company, if they have insurance for their holiday in place and not seek compensation from TheGolfPA.com.
18. WEATHER CONDITIONS DURING YOUR GOLF HOLIDAY
Bad weather is unavoidable during the course of the year and as a result golf courses may either close or the golf course will operate temporary tees and greens at their sole discretion. Golf courses reserve the right to close or operate temporary tee boxes/greens or delay starting tee times due to fog or lightening storms.
PRIOR TO ARRIVAL DATE:
Should you choose not to travel, the client has the right to cancel and will be subject to our cancelation terms.
However, subject to the policy of the hotel/golf course (our supplier’s) in these circumstances, we will try and postpone your golf holiday; however price supplements may be incurred depending on when your holiday is re-booked. Please refer to our changes/amendments conditions in section 12. No refunds are available under any circumstance
for cancellations made due to golf course closure.
DURING YOUR GOLF BREAK:
Golf played on temporary greens and tees is non-refundable and is considered to be an accepted part of playing golf during periods of bad weather.
Please note that trolley and buggy bans occur frequently when a course is wet and are determined by those in charge of the golf course. Any pre-paid golf buggies or trollies that are banned for use on a particular day due to weather conditions are non-refundable and accepted as having been used.
TheGolfPA.com cannot be held responsible due to inclement weather conditions.
If you are unable to play golf on your break due to golf course closure we will, without guarantee and at our supplier’s discretion, try and obtain a green fee voucher for the golf element of the break. Please note that we sell “Winter Holidays” (October – March) usually at a discounted rate. Any refund during the Winter Period will not be equivalent to the full green fee and with most winter holidays the golf element is considered complimentary.
Each hotel and golf course sets its own “Bad Weather Policy”. All decisions regarding green fee vouchers are solely at the discretion of the hotel and golf course and are final. We cannot be held responsible should inclement weather prevail. Any vouchers issued at the Company’s discretion can be used for future bookings with TheGolfPA.com.
19. SPECIAL REQUESTS AND MEDICAL PROBLEMS
If you have any special requests, you must advise us at the time of booking. Although we will endeavour to meet any such requests we regret we cannot guarantee to do so.
20. COMPLAINTS
TheGolfPA.com acts as an agent for each hotel. If you have a complaint or experience any problems during your holiday please inform the hotel immediately during your golf holiday. We recommend that you speak to the Hotel General Manager and take the matter up with him/her directly.
TheGolfPA.com acts solely as a booking agent for entry into Amateur Tournaments. If you have a complaint or experience any problems during your tournament, please inform a Tournament Representative immediately during your golf holiday. We recommend that you speak to the Tournament Director and take the matter up with him/her directly.
If you do not reach an acceptable conclusion during your golf holiday please notify us in writing by letter within 28 days of your date of return.

Please note: All complaints must be made in writing and sent to the address above. Complaints cannot be dealt with over the phone or by email.
21. LIABILITY
If you have any complaints concerning any services we provide you must inform us in writing by letter or email within 28 days of your date of return.
Any assistance provided in resolving a complaint in relation to any Resort booking is provided on a goodwill basis and in our capacity as an agent.
If you have a complaint concerning any services we provide, as opposed to any service provided by any third party such as a hotel for whom we are not responsible, you must inform us immediately in writing within 28 days of your departure date. We regret we cannot accept any liability if we are not so notified. Our maximum liability to you if we are found to have been at fault in relation to any service we provide is limited to the commission we have earned or are due to earn in relation to the booking in question.
SPECIAL EVENTS:
Bookings made by TheGolfPA.com through other agents are subject to their specific conditions. Such conditions will be sent to you at the time of booking.
THIRD PARTY LIABILITIES:
In the event that your booking with The Golf PA.com involves the use of services from a third party e.g. a flight, ticket, hospitality then the liability associated with your booking will be based on the value of the pre-payment made to a third party as part of the booking in order to confirm these services. These terms associated with this genre of booking are available on request and are outside TheGolfPA.com standard booking terms.
22. EXTRAS
Please note that all extra’s consumed on site such as Food, Drink, Entertainment, Spa Treatments and Transport must be paid for by you and your booking with TheGolfPA.com only includes the package set out in your confirmation email and invoice. We accept no liability for any charges you consume on site in relation to any extras outside of your package.
23. CHANGES AND CANCELLATIONS BY US
TheGolfPA.com reserves the right to make changes to and correct errors on our website and in any of our brochure or publicised materials both before and after bookings have been confirmed.
As with the nature of the travel industry, bookings can be taken and deposits paid before either golf, accommodation or transport arrangements can be confirmed.
TheGolfPA.com reserves the right to make appropriate adjustments and changes to golf, accommodation and transport to ensure a like for like alternative is arranged for your package. If this is the case, we will advise you of the changes prior to your holiday commencing.
24. FORCE MAJEURE
TheGolfPA.com will not be liable for additional expenses incurred through travel delay, Acts of God, force majeure or events beyond our control.
Force majeure is unusual and unforeseeable circumstances beyond our control such as war or threat of war, riots, civil unrest, terrorist activity, industrial disputes, natural or nuclear disaster, fire or adverse weather conditions.
25. YOUR FINANCIAL PROTECTION
Our affiliation with H. McCurdy Hamilton Travel Limited insures that all packages booked through them are covered under the ABTA bond No: 43203.
26. NORTHERN IRELAND LAW
Your booking with TheGolfPA.com and all matters arising out of it are governed by the Laws of Northern Ireland.
27. PRIVACY POLICY
We do not spam our clients, and do not pass any data that we receive onto any third parties.
